Private Formula International Pty Ltd and its divisions of Starfingers and Magic Beauty Products (group referred to as PFI) fully support and abide by The Privacy Act 1988 (Cth), Privacy Amendment (2000).

The privacy of individuals is of the utmost importance to PFI. The cornerstone of the business relies on the high quality, highly relevant customer and prospect data for effective communications. This means that a commitment to data quality, accuracy, and secure and respectful handling is critical to the organisation.

  • Practices

When personal information is collected by PFI, the group maintains the following practices:

  • Collection

    • All information is collected with the utmost respect for the individual, ensuring fair, transparent , unintrusive and lawful collection at all times.
    • Only information, which is necessary for the provision of a service; supply of a product; customisation of offers, product, services, or communications, is collected. All other information requested is optional and provided at the discretion of the individual.
    • When data is collected and the collection statement made via the Internet, e-mail, phone, or SMS, explicit consent for usage and disclosure is required (opt-in).
    • When data is collected and the collection statement made in writing - via mail, print advertising, or brochure, implied consent for usage and disclosure is acceptable (opt-out option provided). The opt-out option will always be obvious and clear.
    • A collection statement is always made at the point of collection (where new, additional data is being collected), or soon afterwards if written communication/fulfillment follows.
  • Use and Disclosure

    • Following consent, when contact is made for any purpose other than a primary or related purpose, an individual is given the opportunity to change their preference for the way their data is used and disclosed.
    • Generally PFI will not use or disclose personal information other than for the primary or related purpose unless the individual provides consent.
    • If it is not practicable to gain consent, when the first contact is made, an individual is given the opportunity to change their preference for the way their data is used and disclosed.
    • Sensitive information (such as race, religion, health information, etc) will only ever be used or disclosed with express permission from the individual.
  • Data Quality

    • PFI will take reasonable steps to ensure that the data it uses is accurate, complete and up-to-date.
    • Appropriate quality checks will take place before data is used - the check will be dependant upon the sensitivity or critical nature of the data and the client's requirements.
  • Security

    • PFI network procedures and systems security are protected by firewalls, virus protection and secure procedures.
    • All transfer and delivery of data is handled securely, using password protection and/or encryption for sensitive or transactional information.
    • Data is accessed and handled only by authorised users for authorised purposes.
    • At the completion of a project, a client's data will be returned, destroyed, de-identified or securely stored under a client's instruction.
    • All physical records of an individual's information (i.e. response coupons) are securely stored with the restricted access to authorised individuals only.
    • Only Privacy Compliant contractors, bound by the Agency's Privacy Agreement, are commissioned by PFI.
  • Openness

    • A process will be followed on a client by client basis to either directly, or via the client, make known the type of information held, how it was collected, the purpose of holding it and how it is used.
  • Access and Correction

    • Where the client holds the master file of a customer record, any requests for access or correction is forwarded to the client for handling, unless an alternative is requested by the client.
    • Where PFI holds the master file, PFI will provide individuals with access upon request. This will be handled immediately if the request is simple, more complex requests will be required in writing and a charge may be imposed on the individual.
    • Requests for access or correction should be directed to PFI at 200 Clarendon Street, South Melbourne, VIC 3205.
  • Identifiers

    • PFI will not adopt a Commonwealth identifier (e.g. Medicare or pension numbers), as a reference to identify an individual.
  • Anonymity

    • PFI will give individuals the opportunity to remain anonymous where it is practicable, or lawful to do so.
  • Transborder data flows

    • PFI will only transfer personal information outside of Australia, if similar privacy legislation to Australia's, or a statutory agreement is in place.
